Annual General Meeting of the Coldwater and District Agricultural Society
Tuesday, January 21st 2020 7 pm at the Coldwater United Church (downstairs), Coldwater
What happens at an Annual General Meeting (AGM)?
At the AGM, you’ll hear the highlights of the past year, you’ll see
the audited financials to see how the fair made out financially, there
will be a few constitutional agenda items to review and vote on,
sometimes awards are given out and finally, we vote for the slate of
people who wish to stand as Directors (sit on the Board of Directors
for the Coldwater & District Agricultural Society).

What does a Director Do?
A Director on the Board of the Coldwater & District Agricultural
Society is someone who takes an interest in the running and
organization of the fair, beyond any class or event they may also be responsible for.
The Directors are responsible for the holding of an annual Fair and must be available to assist in the planning, promotion and work prior
to, during and after the Fair. Usually a Director plans to remain on the Board of Directors for at least 2 years, although Directors do
have to be re-elected each year. Directors plan to attend the monthly meetings . Some Directors may be on the Executive of the Board and
would have to attend about 3 extra meetings a year. Some Directors may lead a committee or participate on a committee or attend meetings
to provide additional experience and input. If you are a Director, you might want to be on the Executive as an Officer (President, 1st and 2nd Vice-Presidents). Officers are elected from the slate of elected Directors.
Here is a list of duties of Officers, fyi:
The President of the Society shall:
(a) Call and preside at all meetings of the board and executive
committee meetings where possible in case of a tie vote, shall cast
the deciding vote;
(b) Be a member ex-officio of all committees;
(c) Prepare the President’s year-end report for the Annual Meeting;
(d) In conjunction with the Secretary/Manager, prepare an agenda for
board and Executive Meetings;
(e) Have signing authority.
The 1st Vice-President shall:
(a) Perform the duties of the President in the absence of it;
(b) Be chairman of the Buildings and Grounds committee;
(c) Attend all meetings of the Board and Executive;
(d) Assist committees or chair other committees as required;
(e) Have signing authority.
The 2nd Vice-President shall:
(a) Perform the duties of the President in the absence of the
President and 1st Vice-President;
(b) Be chairman of Advertising and Public Relations committee;
(c) Attend all meetings of Board and Executive;
(d) Assist committees or chair other committees as required.
